The real cost of doing your own recurring writing.

Owners track job costs to the dollar and never cost their own writing. The monthly reports, the proposals, the follow-ups, the updates that start from a blank page: for most owners it adds up to 10 to 15 hours a month. Not once. Every month, forever.

Now price the hours honestly. Your time isn’t worth your salary divided by 2,080. It’s worth what an hour produces when you point it at the highest-value thing you do: closing, pricing, the relationships only you can hold. For an owner running a real business, $500 an hour is a conservative number. At that rate, recurring writing costs $5,000 to $7,500 of owner time, every month, on work that doesn’t win a single new client.

The part the math misses

The hours are the visible cost. The timing is the hidden one. Recurring writing doesn’t get done at 10am on a Tuesday. It gets done at 9pm, after the real work, which is why it’s always late and why the follow-up that should have gone out same-day went out Thursday. In home services, that delay loses jobs. In agency work, it burns the first unbillable week of every month.

And there’s a third cost, harder to see: the things that never get written at all. The newsletter. The case study. The price increase you’ve been meaning to announce for two quarters. Not written isn’t free. It’s revenue that never got asked for.

Why you can’t delegate your way out

The reason this work stays with the owner isn’t stubbornness. It’s that nobody else can write it in your voice with your judgment, and every attempt to hand it off comes back needing a rewrite that takes as long as drafting it yourself.

That’s the specific problem a trained system solves: drafts that start at your standard instead of needing to be dragged to it. Pick the document that costs you the most and take it off your plate first. The payback math is not subtle.
